We’re taking the paper out of the PTA purchasing process!

  • Why?
    • Quicker Turnaround. Communication will be faster, your cash gets back to you sooner!
    • Fewer Checks. Electronic payment methods mean we’ll write fewer checks!
    • Cash Management. Less out of pocket cash with the PTA’s Tax Exempt Amazon Business Account!
    • Tax Exempt Status. Funds go further by reducing the sales tax paid on purchases! 
  • How?
    • Online Banking. Online bill pay, and online check writing.
    • Amazon Business. You place/track orders, the Board approves them, the School receives them.
    • Google Forms. No more paper for non-Amazon purchases.

    • Weekly Treasury Review! Treasurer will review and process requests/Amazon orders weekly

 

Some common questions:

  • What impact does online banking have on me?
    • You’ll no longer receive hand-written checks
    • You’ll be added as a payee in the PTA’s bank account and receive a printed check 
  • What if I already have submitted expenses under the old process?
    • No problem! We’ll reimburse those as usual. 
  • What is Amazon business?
    • A new program from Amazon allowing for team management of expenses
    • A tax-exempt* Amazon account in the PTA’s name using a PTA-owned electronic payment method
    • You will be set up as a user able to place and track orders for the PTA
    • The Board can review/approve orders
    • Orders get shipped to the school
    • *See process documentation for tax-exempt sellers 
  • How do I use the Google Form?
    • The form is designed to be one receipt, one request
    • Fill out the form, and upload an image of your receipt
    • Use the PTA’s ST-2 form when making your non-Amazon purchase (MA Tax Exempt Status)
    • We’ll aggregate your open requests and send you one printed check for the total
